To combine event photos from several photographers, keep the source deliveries separate until you have checked their files. Two cameras can produce the same name for different images. A single guest link is useful only after the organizer has confirmed that every agreed selection reached the combined gallery.
Keep a record of each delivery
Track photographer reference, covered location, expected selection, received files and approval. Preserve a copy of each original delivery outside the guest gallery. If a later correction arrives, you need to know which selection it replaces.
Do not compare the combined gallery count with every camera frame shot at the event. Compare it with the approved exports actually intended for guests. Contact sheets, rejected frames and alternate edits may legitimately stay out.
Resolve file names before flattening folders
If two deliveries both contain DSC_0001.jpg, copying them into one local folder can overwrite one image. Add a source prefix in a working copy and keep a mapping back to the delivered name.
| Source | Delivered name | Working copy |
|---|---|---|
| Photographer A | DSC_0001.jpg | A-DSC_0001.jpg |
| Photographer B | DSC_0001.jpg | B-DSC_0001.jpg |
A shared name does not prove duplication. Compare the actual images before removing anything. Keep the source archive intact while preparing the upload.
Check coverage and timing
Review samples from every photographer and every assigned room. If you arrange photos chronologically, verify camera time zones and offsets first; file sorting cannot correct an incorrectly set clock by itself.
For a multi-day conference, keep the daily intake record too. Check missing sections with the photographer before asking guests to search again.
Prepare one tested guest destination
In Event Face Finder, the organizer adds selected files to the event through supported upload or import routes. Selfie search then looks for likely matches within that event. It does not fetch every photographer's external albums automatically or merge different events into one search.
Wait for preparation to complete, then test volunteers represented in each source delivery. The gallery setup guide covers launch checks. If you offer paid downloads, make sure your agreed sales arrangement covers files from every photographer in the selection.
Set up the gallery before you share it
Add your photos, choose what guests can download and open the gallery on your phone before sending the link.
