Use Google Drive when a small trusted team needs to exchange working files. Use a dedicated event gallery when guests need a polished way to find, view, or download photographs. The two tools solve different parts of the workflow and can be used together.

Drive is strong as a familiar source and collaboration space. It is usually weaker as the final experience for a large, diverse audience.

Where Google Drive works well

A structured Drive folder is practical for photographer handoff, team review, sponsor selects, and a small family group. Permissions are familiar, files can retain their original structure, and collaborators can add or replace material.

The problems appear when the folder becomes the guest interface. People may see thousands of filenames, request access from the wrong account, download oversized files, or accidentally move content if permissions are too broad.

A gallery can provide a branded event page, stable previews, mobile navigation, download rules, expiry, and a support route. Search and segmentation reduce the amount each guest must inspect.

If the source already lives in Drive, the organizer can use a Google Drive face-search workflow with Event Face Finder to validate the source, import the event, and offer a separate guest route.

A hybrid workflow

  1. Photographer delivers or synchronizes the approved set to a controlled folder.
  2. Organizer checks filenames, duplicates, and access.
  3. Dedicated gallery creates previews and guest navigation.
  4. Guests receive the gallery link, not the working folder.
  5. The team keeps the master source according to its contract and backup plan.

Keep the editable Drive folder for the team and send guests a separate, read-only gallery link.
