Choose an event photo sharing platform by testing what your guests need to do. Collecting their phone photos, delivering the photographer's edited set and helping each person find themselves are separate jobs. A tool that handles one well may not handle the others.
Start with a representative photo set and one guest phone. Check the complete journey before committing to a large upload or printing a QR code.
Decide which job matters
| Main job | What to look for | What to test |
|---|---|---|
| Collect guest contributions | An upload destination with clear instructions | Can a guest add a photo from their phone? |
| Deliver a small edited set | A readable album and suitable downloads | Can a guest open and save a file? |
| Deliver a large participant gallery | Browsing filters or participant search | Can someone find the images they appear in? |
| Supply press or sponsors | Approved selections and agreed file versions | Can the recipient identify the right files? |
A small family album may need only straightforward browsing. A multi-camera race or conference can benefit from a more focused search path. More features do not automatically make a platform a better fit.
Run a guest test
Open the link outside the organizer account. Use an ordinary mobile connection and a second device. Check whether a guest must install an app, sign in, enter a code or provide a selfie.
Find a known photo and download the offered version. Inspect its pixel dimensions instead of relying on the preview. Try a failed search or an incorrect access code and check whether the page explains the next step.
Use the gallery setup checklist to prepare this test.
Check the organizer workload
Confirm supported imports, photo capacity, preparation time, download settings and who answers guest questions. If the photographer already has a gallery, ask whether an extra delivery step is worthwhile for this event.
Event Face Finder accepts photos added or imported to an event and provides browser-based selfie search for guests. Searches return possible matches within that event. It fits the large-gallery finding task. It does not book photographers or provide a guest contribution album.
Compare the total delivery plan
Include the event pass or subscription, any extra capacity, import work and the time needed to support guests. Read the current offer before calculating cost; storage capacity, download rules and availability periods can differ between tools.
Ask for the exact conditions that apply to your event. Avoid comparing a free collection album with a paid professional delivery workflow as if they provide the same service.
Choose the link guests will receive
Send one clearly named delivery link with access instructions and a support contact. If you also collect guest photos, give that destination a different label. The guest collection guide explains this handoff, and the sharing guide provides a delivery message you can adapt.
Set up the gallery before you share it
Add your photos, choose what guests can download and open the gallery on your phone before sending the link.
