  1. Choose the access model
  2. Reduce the work for each guest
  3. Write the message guests receive
  4. Compare common sharing routes
  5. Before you send the link

The simplest way to share event photos is to give guests one mobile-friendly link, explain what they will find there, and decide access, downloads, and expiry before sending it. The correct tool depends on gallery size and sensitivity. A small family selection can use a protected gallery. A marathon or conference needs a recovery flow that does not force every visitor to browse thousands of images.

Treat sharing as part of the event plan, not the last task after editing.

Choose the access model

Use a public gallery when broad discovery is part of the event. Use a direct link or access code when the gallery is intended for a defined guest list or when public highlights and participant delivery need separate routes.

An unlisted link can still be forwarded. State who should receive it, whether downloads are enabled, and when access ends.

Reduce the work for each guest

A gallery can be technically accessible and still be unusable. Organize by day, stage, route, team, or session when those divisions help. Add a search or selection method for very large galleries.

With Event Face Finder, an organizer can publish an event-scoped guest route where each person uses a selfie to look for likely matches. The full source gallery does not need to become the browsing interface.

Write the message guests receive

A useful delivery message includes:

  • What the link contains
  • Whether an access code is required
  • How to find personal photographs
  • Whether downloads are previews or full resolution
  • The final date for access
  • Who to contact about a missing photograph or download problem

Keep the first message short, then place access, download, and troubleshooting details on the destination page.

Compare common sharing routes

Search-based event galleryLarge events with many participantsClear selfie instructions, retry guidance, processing time
  • Test it on a phone outside the organizer account.
  • Confirm the access code and download rules.
  • Remove test files and obvious rejects.
  • State the gallery closing date.
  • Give one support contact.
  • Keep the master copy according to the contract.
  • Schedule one reminder before access closes.

Send one link, one access instruction, one closing date, and one support contact.

Set up the gallery before you share it

Create the event, choose access and download rules, then test the guest route from a phone.
