Event photos are ready when the photographer finishes the agreed selection and editing, and the organizer has prepared the delivery gallery. There is no single turnaround time that applies to every event. Ask for separate dates for urgent images, the complete edited set and the link guests will receive.
If you are a guest, check the organizer's announced date first. A few social posts may be an early selection rather than the complete gallery.
Separate the three handoffs

Write actual dates and times for your event beside these steps. This is a planning template, not a promise of same-day or next-day delivery.
Ask what the deadline includes
Clarify whether the quoted date covers culling, editing, captions, client approval and upload. For a multi-day conference, decide whether each day is delivered separately. For a race, ask when all camera locations will be included.
Name the person who approves urgent selects so the photographer does not wait for several conflicting responses. The conference shot list helps connect priority moments to their delivery destination.
Allow time to prepare the gallery
Uploading files is not always the final step. Check completeness, duplicates, image orientation, download versions and the guest link. If search is offered, verify that preparation has finished and test with a known attendee.
For Event Face Finder, guest search depends on the event's readiness and prepared photos. Processing may continue after an import. Confirm the current state in the organizer interface before telling guests to search; do not promise a processing duration that has not been measured for that event.
Send an honest status message
Photos from [event] are being prepared. We expect to send the full gallery on [agreed date]. The images already posted are an early selection. Contact [organizer] if you need a specific photo before then.
If the date changes, update the same communication channel with the revised date and contact. Avoid repeatedly circulating a gallery that has not been tested.
What a guest can do while waiting
Keep the event link or QR code, note the session where you were photographed and check the announced delivery date. If that date passes, ask whether the photographer's edit, organizer approval or gallery preparation is still pending.
When the gallery is ready, send one delivery message with the right instructions. If you are still selecting a provider, include these deadlines in the photographer brief before agreeing the work.
