A gala produces several photo requests at once: guests want their portraits, sponsors ask for their presence in the event coverage, and your team needs images of awards or fundraising moments. Prepare separate selections and appoint one person to coordinate delivery, even if several volunteers answer messages.
Write a recipient list before the evening
List guest memories, sponsor coverage and the organizer's approved communications selection. Agree with the photographer what each delivery includes and who approves it. A photo found through a guest's selfie is not automatically a suitable press or sponsor image.
Avoid asking volunteers to choose commercial uses while replying to a missing-photo request. Route those decisions to the responsible person.
Make table portraits traceable
If you plan posed table photos, give tables a visible reference and keep that reference in the photographer's delivery notes. Record which tables were covered and any groups photographed away from their seats.
For example, “table 12, before the awards, by the entrance” provides several useful clues. A donor's name alone may not identify the image. Keep the support process focused on the event scene rather than trying to match guests against a contact database.
Give guests a personal retrieval route
In a small gala, a selected shared album may be enough. A larger gallery can benefit from selfie search. Event Face Finder looks for likely facial matches within the event photos you add, letting guests review candidates in their browser.
Test table portraits and candid dinner shots separately. People at the far end of a table may have very small faces; a successful close portrait does not prove that every group frame will match. Keep organizer-assisted help for those cases.
Separate release dates and requests
A quick sponsor selection and a fully edited guest gallery may arrive at different times. Label them clearly and use the delivery timeline guide to agree expectations.
