After a company party, employees usually want photos of themselves and their colleagues. The communications team may need a handful of stage, award and venue images instead. Prepare these as two delivery jobs: a guest gallery for personal discovery and an approved selection for the people preparing company communications.
Define the two selections
Ask the photographer to distinguish the guest-ready images from the communications shortlist. A stage photo suitable for an internal report is not automatically the picture an employee wants to save.
Decide who approves each selection and which files recipients can download. Keep approval outside the guest search workflow; finding a face does not decide whether an image should be used in a newsletter or on a company website.
Give employees one destination
Use the event's normal internal channel and name the occasion clearly. A message such as “Photos from the autumn team evening are ready” is easier to recognise than a bare link from an unfamiliar service.
Include the gallery link, any access step and a contact. If guest selfie search is available, explain the action in one sentence. Avoid distributing individual folders by email unless the size of the event makes that practical.
The guest sharing guide covers the link and message checks. Separate professional portraits if they have a different editing schedule.
Try a realistic guest search
In Event Face Finder, employees can open the event link in their browser and use a selfie to look for likely matches in the uploaded gallery. Test with volunteers from different parts of the evening: reception, dinner and group shots.
Small faces in a large team photo, profiles and poor lighting may reduce useful matches. Keep an organizer-assisted route for an image someone remembers but cannot find. Do not promise that one search returns every photo.
Make support requests specific
Ask for the approximate time, room, clothing and who else was in the picture. Check whether that part of the event has been delivered before asking the guest to retry.
For an awards dinner with several recipient groups, the gala delivery guide helps separate guest memories from a sponsor or press selection. Finish by testing the employee message on a phone outside your organizer session.
Set up the gallery before you share it
Add your photos, choose what guests can download and open the gallery on your phone before sending the link.
